EMIS Access

 

Introduction to EMIS Access

28 Beaumont Street offers EMIS Access, a secure online system that is integrated with our practice appointments and prescribing system.

Through EMIS Access you can:

  • Book or cancel appointments on-line
  • View your repeat medication and request prescriptions
  • Change your address and other contact details

To use the online facilities, you simply log into the EMIS Access website. The service is free to our registered patients over 16 years of age and is available day and night, up to 365 days a year.

Confidentiality and Security

Information sent via EMIS Access is encrypted. This means that messages you send cannot be intercepted or read by others, and only you and the Practice are able to see your personal information. Our computer system is connected to EMIS Access through the NHS network which is more secure than a normal internet connection (see our terms and conditions below).

Personal information belonging to patients who do not request an EMIS Access account will not be accessible over the internet. We will only enable the internet access facilities provided through EMIS Access if you request us to do so, allowing you secure access to your medication and appointment details. Your other medical information will not be accessible. If you change your mind, you can ask for your EMIS Access account to be deactivated at any time.

Requesting your EMIS Access account details

If you wish to use EMIS Access you must complete and sign a Request Form. These are available in Reception or you can download an online EMIS Access Request Form

Return your completed Request Form to Reception or post it to 28 Beaumont Street, Oxford, OX1 2NP. We will then set up your account and create a letter containing all your account details.

For security reasons you must collect this letter from the Practice in person, any time from 8am to 6pm Monday-Friday.

Please allow at least five working days for us to set up your account before coming to collect your letter, and bring some photo identification with you (such as a passport, student card or driving licence) as we will need it to verify your identity.

For security reasons we cannot give out account details by phone, post or email. If you have poor mobility and are unable to get to the surgery, you may nominate a relative or carer to collect the details of your behalf (at your own risk) by writing their details on the Request Form.

Creating your account

After you have obtained the letter containing your account details you must then create your account at the EMIS Access website. You will only have to do this once. It is important that you enter your details exactly as they appear in the letter.

When you create your account you will be asked to choose a password. Please do not reveal this to anyone. If at any time you believe that someone else may have learned your password or gained access to your account you should contact us as soon as possible.

If you have difficulties registering your account, please contact us.

Booking or Cancelling an appointment

Each available internet appointment is 10 minutes long. If you require a longer time (e.g. for an insurance or DVLA medical) or need an URGENT appointment please phone 01865 311811 to discuss your requirements with a receptionist.

You can view or cancel your current appointments, and choose from a selection of pre-bookable appointments online. Available face-to-face appointments are blue and telephone appointments are green. If you book a telephone appointment, please include the phone number you wish to be contacted on in the 'reason for appointment' box. The doctor will phone you as close as possible to the appointment time, but please be aware that it is impossible to predict the medical problems that present during surgeries and doctors may occasionally run late!

All our patients (including Oxford University college students) are welcome to book with any of our doctors. Please be aware that only a certain selection of appointments are available for booking online - if you can't find what you need, please phone us on 01865 311811. Appointments with the Practice Nurses and  clinics and blood tests must be booked over the phone.

If you wish to cancel an appointment for any reason please do so as soon as possible. You can cancel online or by phoning 01865 311811. If you do not attend an appointment you have booked it will be recorded in your medical record, and we may take action against patients who fail to attend their appointments.

Requesting a repeat prescription

We encourage you to use EMIS Access rather than email/post to request your repeat prescriptions as it is a more secure means of communication. Also, as all your regular medication is listed for you, there is a reduced risk of spelling mistakes and doseage errors.

If one of your regular medications does not appear on the screen it may be because the repeat authorisation has expired and the medication needs to be 'reauthorised' by a doctor. You may still request the medication by writing it in the message box provided, but you may be asked by the doctor to come for a review. When writing out medication requests, be sure to include the name of the medication, the dose, and the quantity required. If you would like your prescription to be forwarded to your pharmacist, please state the name of the pharmacy in the message box.

Once your repeat prescription request has been received it will be processed by one of our Practice staff. If your medication is currently authorised as a repeat medication, your request will be 'accepted' and a new prescription printed.

From time to time, patients request medication that is overdue for review. Your request will then be forwarded to a doctor who will decide whether to accept or decline your request. If your request is declined, the word 'rejected' will appear next to your request on the screen and you will receive a message from the doctor informing you what to do next. Please don't be angry with the Reception staff if this happens - it is the doctor's decision.

You can follow the progress of your prescription request online by logging-in to your EMIS Access account. Please ask for your regular medications in plenty of time and allow at least one full working day for your prescription request to be processed.

Changing your contact details

If you change your address, phone number or mobile, or other contact details please let us know as soon as possible. People often forget to inform us and the problem is only discovered when we attempt to contact you in an emergency!

You can change your contact details on-line. Before your new details are registered they are reviewed by a member of our staff to check for obvious errors. If you have moved outside our practice area you may be contacted and asked to register with a more local Practice.

Terms and Conditions

In using EMIS Access and our online facilities you agree with the following terms and conditions, as well as the disclaimer and the terms and conditions under which this website is provided.

You are responsible for ensuring that your EMIS Access log-in details are kept confidential and for any misuse of your account. You must inform us immediately if you believe an unauthorised person has gained access to your account. Although EMIS Access uses high levels of internet security to protect your personal information, we do not warrant the service to be 100% secure and in using the service you are accepting a degree of risk.

EMIS Access is generally available up to 24 hours a day, but at certain times, for example when our computer system is backing up data or undergoing maintenance, you may be unable to use the service for a while. Although you can book or cancel an appointment or request a prescription at any time when the service is active, we will only be able to process your prescription request during normal opening hours. Dr Sichel and Partner does not guarantee that EMIS Access or our other online facilities will always be available and will not accept any liability for damages resulting directly or indirectly from the use of, or from any inability to use, EMIS Access or our other online facilities.

EMIS Access is provided by EMIS, a trading name of Egton Medical Information Systems, the company that provides our patient records system. Dr Sichel and Partner can therefore accept no liability for damages resulting, directly or indirectly, from the use or misuse of the EMIS Access service.
